Google Business Profile suspended: what to write in the appeal

Fix the profile first, then one appeal with a four-part statement and two to four matching documents. Example lines for every part and a full sample pack.

The short answer

Fix the profile first, then send one appeal through Google’s Business Profile appeals tool with a short statement (under 250 words) that names what did not match, says it is now fixed, and points at two to four documents that show the same business name and address as the profile. No pleading, no history of the business, no new profile.

Why most appeals are denied

A reviewer at Google checks one thing: does the profile, the website and the paperwork all describe the same real business at the same place? Most suspensions come from a mismatch: a keyword-stuffed name, a home address shown on a service-area business, a tracking phone number, a second category a marketing company added, a website that changed. An appeal that says “we are a legitimate business, please reinstate us” and attaches nothing is read as a mismatch that is still there.

Before you write anything: the fix list

Open the profile and make every field exactly what Google expects. Appeals sent with the profile still wrong are the ones that come back denied.

FieldMust be
NameThe legal or trading name only. No town, no slogan, no “#1”, no service words that are not part of the registered name.
AddressShown only if customers come there. A service-area business hides the address and sets the service area.
WebsiteYour own domain, with the same name, address and phone in the footer.
PhoneThe number on your licence and website, not a tracking number.
CategoriesOne primary category that matches what you do. Remove anything a third party added.
HoursReal opening hours. A 24-hour emergency line goes in the description, not in the hours.
ManagersRemove any agency or ex-employee who still has access.

What to write: the statement, in four parts

1. Who the business is (two sentences)

Legal name, what it does, the address or service area, the year it started, and any licence number in the business name.

“Northside Plumbing LLC is a licensed service-area plumbing business operating from 418 Elm Street, Austin, TX 78701, since 2014. Texas plumbing licence M-40211 is held in the business name.”

2. What did not match, and that it is now fixed (the core)

Name the suspension date and list each mismatch as a numbered line: what it was, what it is now. Three lines is typical. This is the part the reviewer is looking for, and the part almost nobody writes.

“1. The profile still showed the old domain. It now shows northsideplumbing.com, whose footer carries the same name, address and phone as the profile. 2. The street address was visible although we are a service-area business. It is now hidden and the service area is set to Travis County.”

3. The attachments, by letter

List each document and what it shows. Say outright that the name, address and phone are identical on every document and on the profile.

“Attached: (a) the state licence in the business name; (b) the June 2026 utility bill for 418 Elm Street in the business name; (c) a photo of our van showing the business name and phone; (d) a screenshot of the website footer.”

4. One line asking for the review

“Please review the profile again.” That is all. No thanks in advance, no explanation of what the suspension cost you.

Which documents Google accepts

  • Business licence or registration: shows the business name and address.
  • Utility bill from the last three months, in the business name, at the profile address (even if the address is hidden).
  • Storefront photo with the sign, or for a service-area business, a vehicle photo with the name and phone.
  • Website screenshot of the footer with name, address and phone.
  • Trade licence for licensed trades (plumbing, electrical, locksmith, HVAC, legal, medical).

Not useful: tax returns, bank statements, customer invoices, personal ID. Send only what proves the name and the address. If a document cannot match (a licence in your personal name, say), explain that in one line of the statement rather than hoping nobody notices.

Three things not to do

  1. Do not create a new profile. A duplicate is itself a reason for suspension, and you lose the reviews on the old one.
  2. Do not appeal again with nothing changed. Each denied appeal with the same mismatches makes the next one harder.
  3. Do not attach documents that disagree with each other. A bill at your home address and a licence at your office is a new mismatch.

If the appeal is denied

Reply to the denial email rather than opening a fresh appeal. Quote the reason Google gave, say exactly what changed since the last appeal, and attach only the documents that answer that reason. Keep it shorter than the first one.

Questions

What should I write in a Google Business Profile appeal?
Under 250 words: who the business is (legal name, what it does, address or service area, licence number); each thing that did not match on the profile and that it is now fixed, as numbered lines; the attached documents by letter, stating that name, address and phone are identical on all of them and on the profile; then one line asking for the review. No pleading and no business history.
What documents does Google accept for reinstatement?
A business licence or registration, a utility bill from the last three months in the business name at the profile address, a storefront photo with the sign or a vehicle photo for a service-area business, a screenshot of the website footer with name, address and phone, and a trade licence for licensed trades. Tax returns, bank statements, customer invoices and personal ID are not useful.
Should I fix the profile before or after appealing?
Before. The reviewer checks whether the profile, the website and the documents match. An appeal sent while the name still has keywords in it, the address is wrong, or a tracking number is listed comes back denied, and each denied appeal makes the next harder.
How long does a Google Business Profile appeal take?
Google says reviews can take several days; many owners report a reply within one to two weeks. There is no way to speed it up, and sending a second appeal while the first is open does not help.
Can I just create a new Google Business Profile instead?
No. A duplicate profile for the same business is itself a suspension reason, and the reviews and history on the suspended profile are lost. Fix the profile and appeal once, properly.
